PROPERTY MANAGEMENT
1.0 INTRODUCTION - LYNX MANAGEMENT GROUP
Lynx Management Groups’ Property Management Division was originally established under Hamcord Ltd. in 1995 and reorganised and renamed in 2001in response to the growing demand in Phuket for the provision of professional management services for the increasing number of luxury villa estates and other properties - thus making us the longest established and most experienced provider of property management services in Phuket. Today, we actively manage a portfolio of villas, estates, and other individual properties throughout Phuket.
The Lynx Management Groups’ management philosophy is based upon the principle that the protection of property as an investment is best achieved through high‑quality property management services. We adopt a positive approach to management, which emphasizes the importance of communication, organisation and control of both the quality and supervision of on‑site staff.
We have a highly experienced and specialised team of professional staff who can assist in all aspects of property management. Our professional services also include rent collection, budget forecasting, lease renewals, rent assessments and marketing. In addition, we undertake the day-to-day management of buildings, which involves security, cleaning, maintenance and repairs, contract tendering and staffing.

The following sections outline the scope of services that we will provide, focusing on the primary issues of concern to the developer, property owners, and the property manager.
2.0 OBJECTIVES
The Lynx Management Group provides a comprehensive range of services designed to ensure the efficient management of estates as well as maintenance, management and rental services to individual property owners.
Our proposals outline the consultancy and management services provided so that the developer can assure buyers that the estate will be managed to the highest professional standards, and that future owners can have access to high quality services for the protection of their properties. As the leading serviced villa rental company in Phuket, our rental services will ensure maximum returns.
Lynx Management Group will ensure that an estate is managed to the highest professional standards in a cost effective manner ensuring that owners and tenants are confident and satisfied that their investments in their properties are being properly cared for.
3.0 TERMS OF APPOINTMENT
Lynx Management Group offers consultancy services to developers during the design and development stage to assist them in providing the infrastructure and common area facilities in a way that enhances the value of the development and provides for future efficient operation of the common area management services.
When all the details of the development have been finalised, we will produce a management proposal tailored to the specifics of the development. There is a preliminary budget assessment as a part of this proposal so that the developer can advise buyers the cost / fees to be expected.
Our instructions will be to act as property manager in accordance with the scope of duties set out in the management agreement. This role will involve providing a management service in respect of the common areas. If required by individual owners, we are also able to provide rental and property management services, including housekeeping, and maintenance, for the owners’ villas.
Lynx Management Group will act as manager to the estate, providing services as defined below and in accordance with the wishes of the residents of the estate to ensure that the estate is maintained in good order for the better enjoyment of the residents.
We propose that our appointment as property manager be for an initial fixed term of two years (commencing from a date to be agreed), renewable thereafter on an annual basis, subject to either party having the right to terminate the appointment upon giving three months' prior written notice to the other party.
We recommend that the estate and the Lynx Management Group enter into a formal management agreement, which will clearly define the duties and powers of the property manager.
After confirmation of our appointment, we work closely with the developer to design the structure of the management best suited to the development.
During this period, our work includes:
Establishing a preliminary operational budget
Producing Rules & Regulations for the estate
Establishing staffing requirements
Advising the developer on matters relating to:
Before hand-over by the developer we:
- Security
- Car parking for guests and staff
- Management offices and staff facilities
- Equipment requirements and storage
- Insurance
- Sinking fund
After hand-over we:
- Recruit and train sufficient staff
- Liaise with equipment installers to establish maintenance and repair procedures
- Obtain the details of any warranties and service contracts for the common area equipment
- Set-up accounting procedures
- Refine the operational budget
- Establish bank accounts
- Select sub-contractors
- Commission the management office equipment
- Produce and distribute owners’ handbook
- Advise and assist owners in establishing an owners’ committee
- Issue invoices for the common area management fees
- Collect payments of the common area management fees
- Produce quarterly owner account statements
- Maintain account records
- Maintain the common areas of the estate in accordance with the terms of contract
- Monitor performance and requirements
- Conduct regular meetings with the owners’ committee
- Conduct a budget review and reassessment after six months operation
4.0 PROPERTY MANAGEMENT
Unlike some of the other property management companies in Phuket, Lynx Management Group employs its’ own full-time staff to fulfill our general task obligations within the estate. This enables us to:
- ensure that only fully competent personnel are employed within the estate
- monitor staff performance
- quickly provide additional staff resources in cases of urgency
- monitor quality control
A number of specialist services are contracted-out as:
- security
- servicing of fire equipment
- pest control services
- accounting & auditing (an independent annual auditor may be included)
Services that are contracted-out are charged at cost to the client.
5.0 OPERATIONS MANAGEMENT
Our head office staff and on‑site management team work closely together to ensure trouble‑free management of the property. We are available for consultation at all times and prepare quarterly written reports on the estate management in addition to situation reports from time to time, as necessary.
We also recommend regular management meetings with the property owners, at which we review progress, present recommendations and take instructions.
A manager, who is supported by the head office team, undertakes the day-to-day management of the property. The manager and head office team are responsible for the recruitment, training and control of on-site staff.
An area supervisor conducts, regular inspections of the property, and consultations with the manager, to ensure that the on-site staff are carrying out their duties in a proper
manner. There are also regular reviews with the head office team to identify any day-to-day operational problems.
The key to successful management of any property is the quality of staff employed on site. It is essential that the staff is able to create and maintain close working relationships with the owners and occupiers of the property and with contractors, suppliers and other staff. The performance of all on-site staff is monitored on an ongoing basis by the head office team.
We also draw up a comprehensive programme of planned maintenance, which will ensure that the fabric and finishes of the estate are maintained to the highest standards. Responsibility for the ongoing implementation of the maintenance programme rests with our head office management team.
6.0 SERVICES AVAILABLE TO VILLA AND APARTMENT OWNERS
Whilst some owners will be full-time residents, others may prefer to rent out their properties and require services to manage and maintain the property.

7.0 RENTAL SERVICES
Lynx Management Group, previously as Hamcord (Thailand) Ltd., has more than ten years experience of providing rental, and serviced villa rental services for high-end villas and is therefore one of the longest established companies providing such services in Phuket. We also employ a Guest Relations Manager to ensure that tenants and guests are looked after during their stay.
